The Ojai Roadrunners is a 100% volunteer, nonprofit organization. The success of our club is due to the amazing support we receive from parents and community members who serve in various leadership, coaching and administrative roles!
Parents who successfully complete a minimum of 12 volunteer hours will receive their Volunteer deposit that was collected during registration. To receive full credit for your volunteer hours, you must both check-in and out with our Volunteer Coordinator when starting and completing an event. Each meet has approximately 60 volunteer spots that need to be filled for our meets to run smoothly and be an enjoyable experience for our athletes, spectators and volunteers.
Each home meet is divided into Shifts and Volunteer Spots. Go to Volunteer Spot to confirm the times for each of our shifts.

The end of our meet depends on how fast the meet is progressing. The more volunteers we have at each meet, the more efficient are meets are run, and the faster they go!
Depending on how the meet is flowing, you may be asked to complete a different task from the one you signed up for during your shift.

There are approximately 60 volunteers roles to be filled at each track meet. They include Track & Field, Infield, Onsite Sales, and Set-Up / Take Down and Clean Up. Parents are asked to sign-up for one of these roles during our Home Meets:
Track:
Hurdles / 4 x 100 m Relays - (Event lead, other volunteers)
Hurdle Tasks include: Place hurdles on track after 3200 m races. Stand-by after each 80 m and 100 m Hurdle race to adjust hurdle heights and placement of hurdles on track by age group. Remove hurdles from track and place in equipment room after conclusion of 4 x 100 m relay.
Relay Judge Tasks include: Immediately following conclusion of hurdle races, pick up relay flag from staging. Proceed to assigned area of the track and await athletes to arrive. Raise red flag visibly to staging and timing to indicate athletes are not ready to run. Place athletes at their start line in the relay zone. Raise white flag visibly to staging and timing to indicate athletes are ready to run. Act as line judge and confirm clean baton hand-offs within relay zone.
Starting Line Coordinator / Finish Line Coordinator - Ensures athletes are in the correct lane before the start of race. Acts as liaison between Timing Coordinator and Starter. Manages flow at finish line. Directs athletes off the track after each race.
Red Coat - (Non-Volunteer Role) - Ensures athletes are lined up properly on track. Explains commands and race rules to athletes. Starts race. Keeps track of laps-to-go for each athlete in distance races.
Field:
High Jump - (Event lead, other volunteers) - Manage overall flow of competition. Judge jumps, record results. Place and reset bar after each athlete's jump.
Long Jump - (Event lead, other volunteers) - Manage overall flow of competition. Line-up athletes. Judge foot placements and line faults. Measure and record jumps. Rake sand-pit.
Shot Put - (Event lead, other volunteers) - Manage overall flow of competition. Line-up athletes. Judge foot placements and line faults. Measure distance of shot put throws. Record results..
In-Field / Track:
Announcer - Serve as Emcee during the meet. Communicates with Staging and all Field Event captains on status of events. Advises athletes of 1st call, 2nd call and 3rd call for start of races / field events. Updates athletes, spectators and volunteers on special announcements and other information.
Staging - (Lead Stager, Data Entry Volunteer, Stickers Volunteers, Athlete Escorts) - Line up athletes from Fast to Fastest. Organize and assign athletes into heats and lanes. Enter athlete information into computer timing system (requires strong data entry / computer skills). Provide each athlete with hip lane number sticker. Escort athletes to starting line.
Timing - (Non-Volunteer Role) - Enters athletes into the timing system computer once heats are formed in staging. Enters real-time competition data into laptop (requires comfortable data entry / computer skills).
Volunteer Check-In / Sales:
Volunteers - Check-in / Check-Out Volunteers. Assign and retrieve Walkie Talkies.
Merchandise / Gear - Set-up Roadrunner merchandise for sale as part of team fundraiser. Sell merchandise during meet. Pack-up and store merchandise at end of the meet.
Concessions / Snack Bar - Set-up and food and drink for sale as part of team fundraiser. Sell concessions during meet. Clean-up at end of meet.
Set-Up / Take-Down / Clean-Up:
Set-Up - Set-up Pop-Up Tents in the bleachers, Volunteer check-in, and in the Field (Staging, Age Groups). Set-up equipment for Hurdles, High Jump, Long Jump, Shot Put, Staging, Timing, and Announcers Booth.
Take-Down - Take down tents and equipment and place in storage at end of event.
Clean-Up - Break down of all tents and tables in all event areas and storing them in the shed. Moving all equipment to storage room. Collecting trash bags.
